The Clerk of the Circuit Court & Comptroller's Office is looking for motivated, service-driven individuals to join our North County team as Customer Service Specialists in our Mental Health or Civil departments. These roles place you at the heart of essential public services, where your work directly supports individuals, families, and the broader community.

As a Mental Health Specialist, you'll help maintain sensitive and legally significant records related to: Involuntary mental health procedures, Substance abuse cases, Developmental disability matters, Tuberculosis-related proceedings, Adult protective services. Your work ensures that some of the most vulnerable members of our community receive timely, accurate, and compassionate support.

As a Civil Department Specialist, you'll assist customers visiting the courthouse for important life events and legal needs, including: Passports, Marriage licenses and other civil services that support residents every day. This role is perfect for someone who enjoys face-to-face interaction, problem-solving, and guiding people through meaningful milestones.
This position is eligible for a one dollar per hour stipend which has already been added to the salary advertised. The one dollar per hour stipend will be awarded upon completion of the introductory period. The stipend will no longer apply should the employee transfer out of this position.
*This position requires up to five days of mandatory onsite training which is conducted at the main courthouse (205 N. Dixie Hwy, West Palm Beach, FL 33401).

Examples of Essential Functions
Mental Health Specialist Essential Functions:
  • Deliver excellent customer service with a positive, professional attitude

  • Processes new cases, including multiple case types and transfers from other courts/venues; assigns case types; indexes parties and associating attorneys; handles specialized processes/procedures.

  • Provide accurate, valid and complete information to the public by using the right methods/tools.

  • Accept and screen court filings from the public and process them accordingly.

  • Collect fees and balance cashier receipts against transactions.

  • Maintain appropriate records and prepare/issue court documents.

  • Certify copies of legal records and court documents.

  • Initiation of cases and Judges' orders.

  • Record and file legal documents.

  • Crosstrain in other functional areas within the department.

Civil Department Specialist Essential Functions:
  • Assists Court Specialist Lead and management team with quality control overall departmental efficiency and procedural development as needed.
  • Assists with the training of new front counter employees.
  • Assist with Vital Statistics Report and other Marriage License related reports.
  • Screens indigency applications; determines whether to grant deny or refer to the Court.
  • Processes new cases including multiple case types and transfers from other courts/venues; assigns case types; indexes parties and associating attorneys; handles specialized processes/procedures.
  • Processes marriage licenses; generates and issues licenses; performs marriage ceremonies for all customers; cashiers related fees; records licenses into the Official Records.
  • Issues and processes writs and other documents; cashiers related fees.
  • Processes car personal property bonds surety bonds and cash appearance bonds; screens paperwork for sufficiency; issues bond forfeiture judgments; issues certificates and certified copies.
  • Transfers cases to other courts/venues; collects applicable fees; prepares and transmits record for transfer; issues receipts for transfer to be completed/returned by receiving court/venue.
  • Processes Judicial reassignments/recusals; updates system; issues notice of reassignment; notifies newly assigned Judge and parties/counsel of the change.
  • Processes and issues Foreign Subpoenas.
  • Processes bail bond agent registrations.
  • Issues certified copies.
  • Assists customers in person and by phone.FUNCTIONS SPECIFIC TO BRANCH COURT SERVICES
  • Accepts documents for recording; identifies document type; verifies statutory requirements.
  • Calculates and cashiers related taxes and fees; issues certified copies.

  • Performs specialized recording tasks, including the processing of Declaration of Domicile and Domestic Partnership.

  • Scans documents; verifies legibility of documents scanned into the Official Records.

  • Accepts VAB petitions and documents to be filed in existing County Civil cases.

  • Processes e-filed documents.

Typical Qualifications
High school diploma (or GED), supplemented by five (5) years of recent and relevant experience that demonstrates the ability to accurately apply acute attention to detail in maintenance of detailed data, preferably in an automated systems environment; or an equivalent combination of education, training and experience. Some vocational or college courses preferred. Once qualified, deputization may be required to perform the assigned functions.
