Public Impact is a national education management consulting firm based in Chapel Hill, N.C.   • Extend the reach of excellent teaching to all students, through Opportunity Culture School Design, an initiative to redesign staffing, pay and instruction for higher-growth learning and educator satisfaction. Multiple third-party studies have shown that students supported by Multi-Classroom Leader® educators (an Opportunity Culture role) add an extra half year of learning annually, on average. Teachers in these schools are about twice as likely to recommend teaching compared to other teachers nationally, and teacher turnover and vacancies have declined in studied schools. Schools in seventeen states and Washington, D.C. now have Opportunity Culture schools.
  • Use data, research, and curious problem-solving to create and spread high-impact innovations and solutions for education policy and management challenges.

The Systems Support Associate will join an experienced administrative team that works on a range of systems supporting employee success and business fundamentals including HR operations, facilities, IT, finance, internal processes, and others. The team often works collaboratively and cross-functionally to ensure internal systems run reliably and smoothly, and employees have the tools and support they need to do their jobs well. By maintaining strong administrative systems, the admin team enables colleagues across the organization to focus on impactful, mission-driven work in education and supports the organization's ability to grow, adapt, and thrive.

Role will include some or all the following, depending on candidate's experience, skills, and strengths:

Grants and Financial Administration Support
  • Provide administrative assistance for grant management activities, with the opportunity to take on increased responsibility over time.
  • Assist with administrative requirements related to Requests for Proposals (RFPs), as needed.
  • Assist with collecting, organizing, and formatting agendas and reports for invoicing and billing purposes.
  • Process monthly expense reports.
  • Assist with facilitator contracts.

Human Resources and Benefits Administration Support
  • Provide administrative support for benefits-related processes, including open enrollment assistance, maintaining benefits documentation, and tracking employee eligibility for benefits such as the 401(k) plan.
  • Support the identification, tracking, and documentation of required employee trainings (e.g., harassment prevention training).
  • Assist with employee recordkeeping, including secure and accurate paperwork retention.
  • Assist with tracking paid time off (PTO) and paid sick leave in accordance with organizational policies.

Compliance and Regulatory Support
  • Support organizational compliance by assisting with regulatory documentation and tracking requirements.
  • Monitor third-party use of the organization's trademarks.
  • Support required background and registry checks, including for current employees and new hires.

Communications and IT Systems Support
  • Manage or contribute to the organization's internal newsletter, including content compilation and formatting.
  • Assist with basic IT-related administrative support or coordination.

Facilities and Workplace Management
  • Support facilities maintenance efforts and coordinate occasional office projects to ensure a safe, welcoming, and functional office environment for team members.
  • Serve as a point of coordination with vendors or internal stakeholders as needed for facilities-related matters.

Organizational Fit and Team Contribution
  • Serve as a collaborative and dependable member of a mission-driven team committed to making a positive impact in education.
  • Approach work with professionalism, discretion, and a service-oriented mindset.

QUALIFICATIONS

  • Able to interact with varied personalities and management styles in a courteous, friendly manner
  • Excellent computer skills, thorough knowledge of MS Office software including Outlook, familiarity with Zoom and shared document systems, and comfortable with learning new programs as necessary for office administrative work
  • Preferred, but not required:
    • Prior experience in an administrative support or office assistant role
    • Familiarity with finance-related administrative processes such as billing, expense reporting, and contracts
    • Familiarity with basic HR or people-operations processes such as benefits administration or employee recordkeeping
    • Experience working with confidential and sensitive information
  • Demonstrated commitment to public service shown through volunteering or work a plus

Location: Chapel Hill/Carrboro and/or Triangle area, NC, is necessary for proximity to our office location in Chapel Hill. The Systems Support Associate will work a hybrid of remote and in-person.

Part-time: Approximately 20-30 hours/week; exact hours to be determined depending on availability, skill set(s), and final responsibilities/tasks assigned based on company needs.

Pay: Base rate of the full-time equivalent for salary range of $42,000 - $45,000. The hourly rate for this position will be within the range of approximately $22.83 - $24.46, which includes a base rate of $20.19 - $21.63, plus a supplement for time-off for each hour you work. Pay increases are annual and competitive for strong performers.

Public Impact is subject to wage and hour laws, and so we highlight here the importance of following Public Impact protocols both for accurately reporting all of your work time and for minimizing overtime charges that would hamper our ability to continue offering flexible, part-time hourly employment.

Benefits: This part-time role may be eligible for a range of benefits-including end-of-year team bonus (typically approx. 10%), health insurance, and retirement-based on part-time percentage and company policy.

Public Impact provides partial reimbursement for internet and phone, as well as other supports as needed to help team members work productively.
